Overview

An internal operations panel for a mid-size trading company, which we call Larkfield Group here. It replaced spreadsheets, paper cheque registers and chat threads with one workspace. Finance, administration, HR and warehouse teams each see only the modules and actions their role allows. The daily view answers one question: what needs attention today. Behind it are a cheque calendar, cheque printing, double-entry accounting, tasks with reminders, a letters and contracts register, shifts and check-in, and an asset register.

The story

The challenge

Payable cheques, loan instalments, vouchers, tasks, contracts and staff records lived in separate spreadsheets, paper books and chat threads. Due dates were missed, nobody knew which cheque leaf had been used, and there was no single source of truth or audit trail.

Our approach

We spent time with each team to map their daily routine, then turned every area into a module with the same layout: a page header, view tabs, filters, the main surface and a detail panel. A permission matrix controls every module and action, and it is checked on the server. Reminders go to the team chat people already use, and staff check in from their phones.

The outcome

One panel that opens on what needs attention today. Payables can be read as a list, a calendar or a report. Cheques print straight onto the bank's form and mark the leaf as issued. Posted vouchers are locked and corrected with reversing entries, so the books stay auditable.

How we got there

  1. Map the routines

We sat with finance, admin, HR and the warehouse to list what each person checks, signs and chases every day.

  2. Shape the information

We grouped the work into modules, defined one page anatomy for all of them and designed the dashboard around today's priorities.

  3. Design the system

We built a dense but calm component set for tables, calendars, forms, status pills and permission controls, in light theme with one accent.

  4. Build and roll out

We shipped module by module, starting with payables and cheques, and moved each team off its spreadsheets as their module went live.

Key features

A dashboard for today

Cheques due this week, overdue tasks, leave requests and expiring contracts, plus cash out for the next five weeks and who is in.

Payables and cheque calendar

Every payable cheque and loan instalment in list, calendar and report views, with status colours and a daily digest.

Checkbooks and cheque printing

Each leaf in each checkbook is tracked. Cheques print onto the physical form with calibrated offsets, and the amount in words is filled in automatically.

Double-entry accounting

Chart of accounts, vouchers split by cost centre, ledgers and statements. Posted vouchers are locked and fixed with a reversing entry.

Tasks with reminders

Tasks with owners, checklists, watchers and due times. Reminders go to the right team chat and to the owner before the deadline.

Letters and contracts register

Incoming and outgoing letters with scans, print-ready templates and expiry alerts for contracts.

People, shifts and check-in

Staff records, a weekly shift roster, leave requests with cover, and a mobile check-in that verifies location.

Roles and permissions

A clear matrix of modules and actions, including own-records-only rights, enforced on the server for every request.
